Summary

The Executive Assistant to CMF is responsible for providing comprehensive support to the Head of CMF Americas and his direct reports by managing the organization’s office operations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

The Executive Assistant should be well-organized, have great time management skills and be able to act without guidance. Ultimately, they contribute to the efficiency of the business by providing personalized and timely support to executive members.  

Key Responsibilities

·       Provide sophisticated calendar management for the Head of CMF Americas and his direct reports. Prioritize enquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements
·       Act as a liaison and provide support to the GMD CMF Executive Committee and senior personnel. Arrange and handle all logistics for GMD CMF Executive Committee meetings and events: schedule meetings; draft agendas; develop, compile and distribute presentation materials.
·       Complete a broad variety of administrative tasks that facilitate the Head of CMF Americas to effectively lead the organization, including: assisting with special projects, designing and producing complex documents, reports and presentations, collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports.
·       Work closely with the Head of CMF Americas and CMF Americas Executive team to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
·       Coordinate all Executive team meetings and seminars and assist with staff meetings and events as needed.
·       Manage all aspects of organization’s office services. Evaluate and assist in developing office policies and procedures for improved work flow and anticipate future needs as organizations grows. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organization.
·       Manage information systems operations including hardware, software, desktop support, internal communication, and strategic systems development and planning. Provide leadership to all levels of the organization to meet their current and future information needs.
·       Provide hospitality to all guests and help to create a welcoming environment
·       Maintains customer confidence and protects operations by keeping information confidential
·       Others projects/duties as assigned for the overall benefit of the organization

 

Salary:

$85,000 to $110,000

Legal and Regulatory Responsibilities

·       Comply with all applicable legal, regulatory and internal Compliance requirements, including, but not limited to, the CA-CIB New York/CAS Compliance manuals and Compliance policies and procedures as issued from time to time; Financial Security/Compliance requirements, including, but not limited to, the prevention of Financial Crime and Fraud including reporting obligations to the Money Laundering Reporting Officer, or local equivalent.

·       Maintain appropriate knowledge to ensure to be fully qualified to undertake the role. Complete all mandatory training as required to attain and maintain competence.
